Currently, removing access after an employee separates from UAB often requires manual actions within schools and departments. Because those steps can vary across the institution, access to services and institutional data may not always be removed as quickly or consistently as intended.

Beginning Nov. 2, UAB’s new BlazerID Lifecycle Management process will automate many of these steps. When an employee separation is completed through the ACT termination process, UAB’s identity management systems will automatically begin removing the individual’s access to university resources, including email, Box and Microsoft 365, according to established policies and timelines.

By default, access will be removed when employment ends, although the data is retained based on existing data retention policies. In certain circumstances, departments may request an approved transition period of 30, 60 or 90 days through the ACT process based on business needs.

The change will help strengthen security for institutional data, reduce risks associated with inactive accounts and create a more consistent approach to access management across UAB. It is also intended to reduce the administrative effort currently required of schools and departments.

Departments will continue to play an important role in preparing for an employee’s departure. Before an employee leaves UAB, departments should identify and preserve business-critical information and transfer ownership of shared resources whenever possible. These resources may include Teams and SharePoint sites, Box folders and shared mailboxes.

Additional guidance from UAB Human Resources and UAB IT is available in the HR Connect Portal.
